We are looking for a versatile, full-time Office Coordinator to support the administrative aspects of our company. You will be responsible for day-to-day office management while supporting Finance, Operations, and People & Culture. Each day will be a different combination of activities to keep client work flowing, the team connected, and our office in order.

Responsibilities include:

Office management

  1. Take charge of day-to-day office operations, including office supply management, security of our team and office, plant care, and other ad-hoc tasks.
  2. Liaise with the cleaning team, building management, neighbors, and vendors regarding office cleaning schedules and maintenance needs.
  3. Ensure the decor of the office aligns to our brand.
  4. Support our team in coordinating events at Perspectives Space, the after-hours persona of our office.
  5. Provide ad hoc support to our CEO on a wide variety of logistical activities.

IT coordination

  1. Manage media subscriptions, software licenses, and log-in credentials for all information technology.
  2. Resolve IT challenges with our external IT Consultant.

Team coordination

  1. Own our team Google Calendar, ensuring recurring team meetings, vacations, birthdays, and other key information is maintained.
  2. Support with logistics of recruitment, onboarding, and offboarding as needed, such as ordering office equipment and collecting equipment when a team member leaves the company.
  3. Work with our Finance Manager to establish offices in other states when needed.

Qualifications:

  1. Self-starter who is comfortable working independently and with a team
  2. Ability to learn quickly and triage tasks in a fast-paced environment
  3. Ability to identify time-sensitive matters and prioritize them appropriately
  4. Ability to balance long-term projects and short-term spontaneous tasks that may arise
  5. Strong working knowledge of Google Suite; IT experience a plus
  6. Able to work from our office in Encinitas, CA at least 3 days per week
  7. Available Monday through Friday between 8:30am - 5:30pm Pacific Time to support team needs as they pop up
